Job Summary – TheAdministrative Assistant provides administrative support to ensure efficient operation of the CSC.Supports department heads through a variety of tasks related to organization, communication and administrativefunctions. Responsible for confidential and time sensitive material. Ability to effectively communicate via phone and emailensuring that all duties are completed accurately and delivered with high quality and in a timely manner. Rely onexperience and judgment to plan and accomplish goals adequately.

Essential Duties & Responsibilities (included but not limited to):

• Provide secretarial support including typing, composing and proofreading correspondence, indexing and filingdocuments

• Answer inquires or refers callers/visitors to appropriate individuals
• Compile reports from data and existing records
• Gather information and develops summaries as requested
• Assist with development and implementation of budget and operational plans

• Develops and implements office procedures related to coordination of interoffice communication, records, system

• Ensureadequacy of office supplies and equipment

• Schedule/coordinates meetings, appointments and travel arrangements
• Assist other staff as requested
• Attend meetings as assigned and reports on actions
• Participates in educational activities and programs
• Maintain strictest confidentiality
• Practice and adhere to the “Code of Conduct” philosophy and “Mission and Value Statement”
• Other duties as assigned
Knowledge, Skills & Abilities:
Communication - communicates clearly and concisely, verbally and in writing

Customer orientation - establishes andmaintains long-term customer relationships, building trust and respectbyconsistently meeting and exceeding expectations

Interpersonal skills - able to work effectively with other employees, patients and external parties
PC skills - demonstrates proficiency in Microsoft Office applications and others as required
Policies & Procedures - demonstrates knowledge and understanding of organizational policies, procedures and systems

Basic skills - able to perform basic mathematical calculations, balance and reconcile figures, punctuateproperly, spellcorrectly and transcribe accurately

EDUCATION

• Highschool diploma or GED required

• Associate’s degree in business administration or completion of secretarial program preferred

EXPERIENCE
• Three years of secretarial experience including one year in a health care organization required
• Relevant education may substitute experience requirement

• N/A

PHYSICAL DEMANDS/WORKING CONDITIONS – Requires prolonged sitting, some bending, stoopingand stretching.Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment. Requires normal range of hearing and eyesight to record, prepare and communicate reports.Requires lifting papers or boxes up to 50 pounds occasionally.May be exposed totoxic/caustic/chemicals/detergents. Work is performed in an office, and in the pharmacy and hospital environment. Work may be stressful at times. Contact may involve dealing with angry or upset people.Staff must remain flexibleandavailable to provide staffing assistance for any/all disaster or emergency situations.
