Job Summary – The Event Coordinator will assist with thedevelopment and implementation of an effective corporate event program thatsupports the marketing and corporate strategic plans for HealthTrust, CoreTrust,AdvantageTrust, Parallon and all related service lines. The Event Coordinatorwill support the Marketing Events Manager with managing and executing corporateevents to include hosted conferences, trade shows, VIP meetings and hospitalityevents. The ideal candidate is detailed-oriented, an excellent communicator,thrives under pressure and has a proven track record of developing andexecuting effective corporate event programs in the healthcare field.
Key Responsibilities – The Event Coordinator is responsiblefor assistance with the management and execution of logistics, budgeting, andoverall organization of hosted conferences, trade shows and other corporateevents. Primary responsibilities include supporting the Event Manager with:managing all event logistics, establishing timelines, managing a detailedbudget, systems development and implementation, sourcing and managing contractswith venues and vendors, and conducting post-event measurement/follow up todeliver effective event programs.
Duties (included but not limited to) – 

  • Collaborate with the Event Manager to establish programagenda, overall project/timeline management, coordinate education offerings,source and manage contracts for venues, speakers and third party vendors, aswell as end-to-end logistical management for hosted conferences, trade showsand other corporate events.
  • Assist in the implementation and management all systems forevent registration, onsite solutions, trade show logistics, promotional iteminventory, booth hardware inventory and mobile applications.
  • Manage budgets for each event, providing accurate financialinformation to accounting throughout the planning process. Monitor revenuebudget, outstanding payments, and expenses for each event to ensure thatexpense and revenue target numbers are achieved.
  • Assist with the development and execution of marketingpromotion strategies to improve event effectiveness, increase event revenue,promote registration and sponsorship opportunities, and maintain effectivecommunication with attendees throughout planning process.
  • Coordinate with contracting team to ensure compliance inevery promotional opportunity by exhibiting suppliers at our events.
  • Assist in the negotiation and ongoing relationshipmanagement of vendor contracts that provide supportive services for hostedconferences, trade shows and other corporate events, ensuring best possiblepricing and service for event.  
  • Proactively communicate project status, program deadlines,identifying any areas of concern or problems with associated solutions to theEvent Manager and other internal customers as needed to ensure that logistics,registration, budget and scheduling needs are met.
  • Utilize metrics and processes to measure event success,providing analysis and recommendations to manager for continual programimprovement.
  • Reference the brand style guidelines to ensure all brandcommunication is professional, accurate and approved before executing in anytrade show or event.
  • Maintain up-to-date healthcare industry knowledge of trends,technologies and best practices for shows and events and communicate relevantfindings to Event Manager.
  • Other duties as assigned.  

Job Requirements

Bachelor’s degree, marketing, hospitality, communications,or a related discipline.
3-5 years of experience in event planning within thehealthcare industry with job related responsibilities in marketing, trade showsand/or corporate events.
